I’m assuming that the per user fees are yearly (not monthly fees).

So, based upon the estimates above (5 pro users and 10 standard), the total bill would be about $500. (This price assumes that Microsoft won’t charge us the yearly subscription services fee of $3890.58).

There is no celing on how much data you can store on the LiveMeeting data centers. A Pro license can store meetings for up to 365 days.

Microsoft will most likely be one of the key players in the web conferencing arena. Its biggest downside, I think, is that a complete web conferencing experience with the software is only available when using a PC. Meeting users also need to download a Microsoft plug-in the first time they use Live Meeting. With more Apple users, this could pose a serious challenge, but the software is very good and easy to learn. People who have an Intel Mac could install Windows and be able to use Live Meeting on their Apple.

St. Luke's is using this camera to help young patients stay connected to their classrooms, with the classroom using the RoundTable camera and the patient using a traditional web cam. (This would be an excellent research topic/paper to write, by the way.)
There are many ways you can conduct conferences online. There is no "one size fits all" web conferencing system. For instance, most web conferencing software should work great if all you need to see is the person's face. However, if you want to view an entire room of people and demonstrate something or show a product, you would want to use a more interactive type of video conferencing system like we have at BSU: Tandberg, http://www.tandberg.com/products/video_systems/index.jsp
One of the important points you should remember is that this market is evolving QUICKLY and is CHANGING CONSTANTLY. Therefore, you need to think about the sustainability and reliability of the product you want to use. Sure, there are tons of free programs out there, but it is really and UNKNOWN how long they will be available and if they will always be free. So, this knowledge should affect your decision-making process.
<del>Some</del><del> of</del><del> the</del><del> FREE</del><del> programs</del><del> out</del><del> there</del><del> are</del><del> still</del><del> either</del><del> in</del><del> Alpah</del><del> (really</del><del> buggy)</del><del> or</del><del> Beta</del><del> (not</del><del> as</del><del> buggy,</del><del> but</del><del> still</del><del> in</del><del> developmental)</del><del> stages:</del><ins>Free</ins><ins> Software</ins>
WizIQ is a free web-conferencing software that I have used. It's pretty good, offers whiteboard, presentation, recording, and its strength is that you can use other content on the system. It fits in the social networking model of sharing knowledge.
WebHuddle is called "Alternative Communication" and is also a pretty good web conferencing tool. They have some examples on their website and you can sign up for a free account.
DimDim is in Alpha stages and is not yet available (although I understand from Val that ISU is using it as a plug in with Moodle, their Learning Management System. The software needs to be installed (and of course managed) on a server, but participants don't need any additional software. It looks pretty robust and has features like presentation/whiteboard/video/text chat that are basic, but required stuff.
Skype offers plug ins that add to the functionality of this free communication service. They have conferencing plug ins that allow small groups to meet and tons of other programs. Take a look at their site and download the software to try it out.
<del>Programs</del><del> that</del><del> require</del><del> licensing</del><del> fees:</del><ins>$$$$$</ins>
Adobe Acrobat Connect Professional
I heard from Adobe and they were supposed to call me back with a price quote, but still haven't heard back from them. I would provide a ball-park figure in the $10 to $20K range for about 5 to 10 users for a yearly licensing fee that would include using the Adobe server along with support (limited) to host all of the files/meeting.

Microsoft Live Meeting

Microsoft Live Meeting Home Page

Microsoft upgraded its Live Meeting 2005 to 2007 and with it came quite a few improvements. Microsoft will most likely be one of the key players in the web conferencing arena. Its biggest downside, I think, is that a complete web conferencing experience with the software is only available when using a PC. With more Apple users, this could pose a serious challenge, but the software is very good and easy to learn. People who have an Intel Mac may want to install Windows and be able to use Live Meeting on their Apple.

An Apple user can go to a Live Meeting using the Safari browser, but cannot participate fully in the meeting.

Here is the link that compares the various web conferencing solutions of Live Meeting: http://office.microsoft.com/en-us/livemeeting/FX102407251033.aspx

Live Meeting Professional is the license to go with if you want to conduct meetings with up to 1250 participants and unlimited storage of shared meeting recordings for 360 days. It also offers the following features over the standard license that would be valuable:

Event and class registration

Public events page

Advanced testing and grading

Shared recordings

Virtual breakout rooms

Advantages of using Live Meeting

It appears to be VERY reasonably priced. Check out the pricing comps at this page: http://office.microsoft.com/en-us/livemeeting/HA102030111033.aspx

Professional Users (Minimum 5 users) are $15.42 per user per month with no one-time fees.

It also appears to be VERY reliable, with 99.99% historical availability. This is important when you want to make sure the server will be available for the meeting!

It's Microsoft, so you can feel pretty secure it will be around and not disappear overnight.

Meeting participants can record meetings themselves, which are saved on their own computer. This would solve the need to archive the recordings for more than 360 days on the Microsoft server.

You would be using the Microsoft server, which would be a dependable resource and not require additional IT and tech hardware expenses.

Research from St. Luke's

I spoke with Tom Rowe at St. Luke's and he referred me to Kevin Mark (381-4491)

Kevin gave me a lot of info about Live Meeting and how they are using it at St. Luke's. It might be possible to use their license, but it would require someone at St. Luke's to set up the meeting and invite people. I'm not sure if they would be willing to do this or if we have a more direct connection to someone at St. Luke's. Kevin said that Live Meeting is being used by about 350 people at St. Luke's, that the users liked it and it was easy to learn how to use.

Recommendations

Live Meeting appears to be an excellent way to conduct web conferences/meetings online, since it is reliable, easy to use, and inexpensive.

Instead of depending upon St. Luke's (and maybe they wouldn't even do this!) to set up meetings, the grant could include the cost of Live Meeting (the professional license) for a minimum of 5 users. (I have not spoken to anyone at Microsoft, just read the info on the website. The prices should be confirmed before including them in the grant.)

Presenters and participants will need to have SOME initiation/training on how to use Live Meeting. Microsoft has some tutorials online. People using Live Meeting should be required to have their computer set up and configured, ready to participate in a meeting. They should also be familiar with the configuration of Live Meeting and be comfortable using it. They should also know what to do in case of technical difficulties.

Presenters should be very well-versed in how to use Live Meeting, how to upload content, and use all of the features they need for their presentation. They should also know how to record a meeting.

A tech/troubleshooting person should probably be available during all meetings, to help presenters and participants if any problems do occur. This person can be at another location, but in the meeting room during that time. There will likely be an extra cost associated with this service.

Thank you Barbara, useful information for us.
I was recently at the University of Oklahoma and they talked about a program called Audacity (don't know if I've spelled it right). Also, they are investigating using something called Medsphere or Medisphere and another program called (ooh, I've forgotten and will have to look it up in my notes at home) but it was one that involved avatars.
I suppose I am way off of web conferencing but in looking at some of these, are there any conferencing components that might be an adjunct to other "cutting edge" features that might be useful to us? If not, just say no and don't spend any time on this.
Thanks.

Conferencing<del> Software</del><ins> Options</ins>

It is easy to install, configure, and use and offers MANY modules that can be added to increase collaboration/communication. Using Moodle would of course require another server to house the software, someone to upgrade, maintain, add modules, and back up the files, new learning for faculty and students, and the possibility that BSU would not be interested in supporting it.
Web Conferencing Software
There are many ways you can conduct conferences online. There is no "one size fits all" web conferencing system. For instance, most web conferencing software should work great if all you need to see is the person's face. However, if you want to view an entire room of people and demonstrate something or show a product, you would want to use a more interactive type of video conferencing system like we have at BSU: Tandberg, http://www.tandberg.com/products/video_systems/index.jsp
are<ins> tons</ins><ins> of</ins> free programs out there, but it is really and UNKNOWN how long they will be available and if they will always be free. So, this knowledge should affect your decision-making process.
Some of the FREE programs out there are still either in Alpah (really buggy) or Beta (not as buggy, but still in developmental) stages:
WizIQ is a free web-conferencing software that I have used. It's pretty good, offers whiteboard, presentation, recording, and its strength is that you can use other content on the system. It fits in the social networking model of sharing knowledge.
Elluminate
This software is similar to Adobe Connect Professional and again, it comes with a price. Blackboard apparently has a Bulding Block plugin that uses Elluminate, but I don't know if we can/will get it and how powerful it is/what it does. I have not been impressed by Elluminate's video capabilities.
<del>Windows</del><ins>Microsoft</ins><ins> Office</ins><ins> Live</ins><ins> Meeting</ins><ins>
I</ins><ins> have</ins><ins> not</ins><ins> tried</ins><ins> this</ins><ins> software,</ins><ins> but</ins><ins> my</ins><ins> main</ins><ins> question</ins><ins> is</ins><ins> "Does</ins><ins> it</ins><ins> work</ins><ins> with</ins><ins> Apple</ins><ins> computers?"</ins><ins> However,</ins><ins> Microsoft</ins><ins> should</ins><ins> be</ins><ins> a</ins><ins> leader</ins><ins> in</ins><ins> the</ins><ins> web</ins><ins> conferencing</ins><ins> field,</ins><ins> so</ins><ins> it</ins><ins> should</ins><ins> be</ins><ins> something</ins><ins> to</ins><ins> seriously</ins><ins> look</ins><ins> at.</ins>
